Privacy Policy

Last updated: October 13, 2026 ยท Philippines

Your community information deserves careful handling. This policy explains what myKomunidad processes, who can access it, and the choices and rights available to you.

1. Who this policy covers

This policy applies to the myKomunidad website and community app used by homeowners, renters, HOA officers, guards, service providers, and visitors in Philippine subdivisions. It explains the handling of personal information under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and applicable rules.

myKomunidad administers platform accounts and operation. Your HOA determines the purposes and local rules for community records, such as dues, visitor logs, and document requests. Depending on the activity, myKomunidad processes these records for the HOA. Requests about HOA-controlled records may need to be coordinated with your HOA.

2. Information we collect

Account information includes your name, email address, mobile number, subdivision, house or block-and-lot number, requested role, approval status, and sign-in information. If you use Google sign-in, we receive the account information needed to identify and authenticate you.

Community records may include dues and payment proofs, receipts, facility bookings, vehicles, visitor invitations and entry/exit logs, service requests, worker reviews, messages, issue reports, document requests, event posts, voting records, and HOA compliance records.

Files you or your HOA provide may include IDs, driver's licenses, vehicle documents, payment proofs, photos, and legal or compliance documents. These may contain sensitive personal information. Submit only what is necessary for the relevant request; do not include unrelated details or another person's documents without authority.

We also process technical information needed to run and protect the service, such as session information, device/browser details, notification tokens when enabled, and diagnostic logs. Member activity records include visits, pages or features opened, and time spent while the app is visible. This is not a recording of your screen, and it does not track your activity in other apps.

3. Why we use information

We use information to create and approve accounts, verify community and role access, support HOA operations, issue notifications and receipts, respond to requests, investigate misuse, troubleshoot problems, and improve the service. Signup details may be emailed to authorized platform administrators for review.

Member activity helps the platform owner and Super Admins understand usage and support adoption. They can view a member's visits, features used, and visible-app time, and email activity reports to the configured report recipient. Time measurements are approximate and are not proof that a person was continuously interacting with the app.

Processing is based on the applicable lawful ground, including consent where required, providing requested services, compliance with legal obligations, or legitimate interests subject to your rights. An HOA is responsible for having an appropriate lawful basis for the records it collects. Sensitive information requires the applicable legal basis and safeguards.

4. Who can access information

Access depends on role, account approval, subdivision, and the record involved. Members access their own records and shared community content; HOA officers manage authorized records for their subdivision; guards access records necessary for gate operations; service providers access authorized job information. Shared posts, reviews, and event content are visible to their intended audience.

Authorized platform administrators have access needed for approvals, support, security, and platform management. Other members' activity reports are restricted to the platform owner and Super Admins, not ordinary community members or guards.

Hosting, authentication, file storage, email, notification, and AI service providers process information needed to deliver their services. Information may also be disclosed when legally required or necessary to protect lawful rights and safety. Share visitor invitation links only with intended recipients; anyone with the link may be able to use it for its intended visitor flow.

5. AI tools and voting privacy

When an authorized officer requests an AI compliance review or notice analysis, relevant document content and community compliance information are sent to the AI service for processing. Officers should remove unnecessary personal information before submitting documents. AI output can be inaccurate and requires human review; it is not a legal determination.

Anonymous ballots separate voter participation checks from the stored choice. Public audit ledgers may show receipt codes and aggregate results rather than voter names. Do not put identifying details in an anonymous response. Any content deliberately published in a public ledger can be viewed outside your community.

6. Storage, security, and retention

We use access restrictions, community-scoped permissions, and private storage for protected documents. No online service can guarantee absolute security. Protect your account and device, do not share credentials, and report suspected unauthorized access promptly.

Service providers may process data outside the Philippines. Such processing remains subject to applicable data-protection requirements and appropriate safeguards; we do not represent that every record is stored only in the Philippines.

Records are kept for the purposes described here and applicable accounting, HOA, legal, dispute-resolution, and security requirements. Retention depends on the record and your HOA's obligations; closing an account does not automatically erase required financial or community records. When retention is no longer necessary, records should be deleted or anonymized, subject to backup and legal requirements. Contact us or your HOA to ask about a particular record's retention.

7. Cookies, local storage, and notifications

The app uses cookies or browser storage for sign-in sessions, preferences such as theme, and installation or offline support. Offline caching may leave app resources on your device. Sign out on shared devices and clear browser data when needed; disabling essential storage may prevent sign-in or normal operation.

Notification permission and delivery are controlled by your browser or phone. You can change permissions in device/browser settings and available app alert settings. Sounds, vibration, and notifications depend on those settings and platform restrictions.

8. Your privacy rights

Subject to applicable law, you may request to be informed about processing, access your personal data, correct inaccurate records, object to processing, withdraw consent where processing relies on it, request erasure or blocking, and exercise portability and other rights where applicable. Withdrawing necessary consent may affect the service that requires it.

Email the contact below with your request and enough information to identify the account or record. We may need to verify your identity before disclosing or changing personal information. Do not email passwords or unnecessary ID copies. Some requests may be limited by legal duties, the rights of others, or required HOA records; we will explain applicable limitations. You may raise a complaint with the Philippine National Privacy Commission.

9. Children and information about others

The service is intended for community administration, not for independent use by children. A parent, guardian, or authorized HOA representative should handle any necessary information about minors with an appropriate lawful basis. If you believe a child's information was collected improperly, contact us.

10. Changes to this policy

We may update this policy as the service or legal requirements change. The latest version and update date appear on this page. Material changes will be communicated through appropriate channels, and additional consent will be sought when required by law.
